Be specific in one request
Questions can combine common document types with folder, processing status, approval status, QuickBooks source, duplicate or flagged state, amount ranges, vendor, and upload, document, or due-date ranges. Relative dates such aslast month are resolved against today.

Result summaries—counts and supported totals—are calculated from matching database rows. The AI does not invent the arithmetic.
How cited answers stay grounded
- Answers use only documents from your organization and identify their sources.
- When the documents do not support an answer, SmartDMS says it could not find one instead of guessing.
- For cited AI answers, the model receives bounded OCR text and safe metadata — not extracted fields. Supported totals and counts are computed separately by the backend from whitelisted, non-regulated extracted metadata.
- Documents classified as regulated healthcare, financial-services, or insurance types are excluded from AI answer generation. They remain subject to the product's regulated-data search controls.
Ask and natural-language search share a daily allowance. The limit message includes your configured allowance and says it resets at midnight UTC.
